BRIEF OVERVIEW

The Hernando County Facilities Management Department is requesting to purchase an HVAC controls system upgrade (Phase 1) to replace the aging controls at the Hernando County Government Center Courthouse.  The Department received a quote from Trane US Inc., an awarded vendor under OMNIA Partners f/k/a U.S. Communities Contract No. 15-JLP-023, in the amount of $107,520.00.

 

On March 24, 2020, the Purchasing and Contracts Department obtained Board use approval of various Purchasing Program Contracts and Agreements with OMNIA Partners f/k/a U.S. Communities, Doc. Id. No. 16808.  The Purchasing and Contracts Department assigned File No. 19-P00020 for tracking purposes.  Any purchases above the Advertised Bidding Requirement (ABR) of $35,000.00 - are required to be brought to the Board for purchase approval.

 

The Chief Procurement Officer has reviewed this requirement for conformance to the Procurement Ordinance and Purchasing Policies and Procedures.

 

FINANCIAL IMPACT

Funding to award the contract in the amount of $107,520.00 is available in Expense Account 01701-5606201 Facilities Maintenance, BLDGS-CONSTN and/or IMP.

In accordance with Part II, Chapter 2, Article V of the Hernando County Code of Ordinances.

 

recommendation

RECOMMENDATION

It is recommended that the Board approve the "Purchase" of a controls system upgrade to the Hernando County Government Center Courthouse under Piggyback Contract with OMNIA Partners f/k/a U.S. Communities, Contract No. 15-JLP-023, HVAC Products, Installation, Services and Related Products and Services in the amount of $107,520.00 under Hernando County File No. 22-P00144 (Board Use approval of OMNIA Partners Purchasing Program Contracts and Agreements per Doc 16808) for tracking purposes.  It is further recommended that the Board authorize the Chief Procurement Officer to approve change orders as they become necessary and required.

 

Prior Board use approval (Doc 16808) required that any department purchase exceeding $35,000.00 would require Board purchase approval against the OMNIA Partners Contract.
