BRIEF OVERVIEW

On March 12, 2024, the Board approved the utilization of Lee County Contract with Hawkins Water Treatment Group, Inc., piggyback contract no. 24-P00155/FH with an estimated annual spend amount of $70,000.00.

 

Purchase Order No. 24000747 for Fiscal Year 2024 was originally issued for $60,000.00.  Change order No. 1 in the amount of $30,000.00 was approved by the Chief Procurement Officer (CPO) on June 11, 2024, increasing the purchase order to $90,000.00.

 

The Department is requesting to increase the contract amount from the previously approved annual estimate of $70,000 to $170,000 for Fiscal Year 2024 and 2025.  This increase is requested due to the growth in the County as well as the very dry weather that we have been experiencing.  The Procurement Department is currently in the solicitation process for a County contract for Sodium Hypochlorite.

 

This piggyback contract is a three (3) year term contract, and the contract provides for three (3) additional one-year periods. The contract is currently in its last renewal period with an expiration of June 20, 2025.

 

The Chief Procurement Officer has reviewed this requirement for conformance to Procurement Ordinance and Purchasing Policies and Procedures.

 

FINANCIAL IMPACT

Funding up to $100,000.00 will be added to the budget, as needed, prior to completing request for increase to purchase order.  The funds in FY24 are sufficient to complete the year.

RECOMMENDATION

It is recommended that the Board approve the annual increase of the Piggyback Term Contract No. 24-P0155/FH to Hawkins Water Treatment Group, Inc., for the supply of Sodium Hypochlorite for the use at the Water and Wastewater Treatment Plants from $70,000.00 to $170,000.00 annually.  It is further recommended the Board authorize the CPO to approve change orders as they become necessary and required.
