BRIEF OVERVIEW

On September 23, 2025, Hernando County Fleet Department submitted a request to the Procurement Department to piggyback Sourcewell Contract (Contract No. 102924-RTA; Hernando County File No. 25-P0191O) with Ron Turley Associates, Inc., d/b/a RTA for Platinum Tier FMIS Software Services for Fleet Department, with a contract expiration date of April 23, 2029.

 

Hernando County Fleet Department is currently utilizing Contract No. 24-P0120P with Ron Turley Associates, Inc. dba RTA for Platinum Tier FMIS Software Services for Fleet Department which expires March 26, 2026, and being replaced by Sourcewell with contract 102924-RTA for the same services. Fleet is requesting the replacement contract to be approved to continue services with an estimate annual spend of $26,000.00.

 

The Contract provides for three (3) additional one (1) year extension periods.

 

The Chief Procurement Officer has reviewed this requirement for conformance to Procurement Ordinance and Purchasing Policies and Procedures.

 

FINANCIAL IMPACT

Funding will be from budgeted funds in the amount of $26,000.00 per Fiscal Year in the following:

 

Fund:  5071 - Vehicle Maintenance, Department:  08021 - Vehicle Maintenance, Account:  5304606 - Repair/Maint-Software,

 

Fund:  5081 - Fleet Replacement Program, Department:  08031 - Fleet Replacement Program, Account:  5304606 - Repair/Maint-Software

In accordance with Part II, Chapter 2, Article V of the Hernando County Code of Ordinances.

RECOMMENDATION

 It is recommended the Board approve the utilization of Fleet Management Software with Sourcewell for Contract No. 102924-RTA; Hernando County File No. 25-P0191O, with Ron Turley Associates, Inc. dba RTA for Platinum Tier FMIS Software Services; in the amount of $78,000.00 with an estimated annual spend of $26,000.00.

 

It is further recommended the Board authorize the Chief Procurement Officer to renew the contract with the same terms and conditions and approve change orders as they become necessary and required up to annual budgeted amounts.
