BRIEF OVERVIEW

The County’s current contract with Johns Eastern Company Inc., Contract No. 20-R00022) for Workers' Compensation 3rd Party Claims will expire on September 30, 2025.

 

The Human Resource Department has requested to enter into an agreement for Workers’ Compensation Third Party Claims Administration Services with Davies Claims North America, Inc.

 

The term of the agreement will be for thirty-six (36) months with a unilateral option to renew for two (2) additional twelve (12) month periods.

 

As requested by the Human Resource Department, the Procurement Department has prepared Professional Services Agreement No. 25-PS00995/AP.

 

The Chief Procurement Officer has reviewed this requirement for conformance to Procurement Ordinance and Purchasing Policies and Procedures.

 

FINANCIAL IMPACT

Funding in the amount of $33,775.00 is budgeted in FY26:

 

Fund:  5031 - Worker’s Comp Self Ins, Department:  08101 - Worker’s Comp Self Ins Account:  5304511 – Insurance-Work Comp Admin. The remaining contract amounts will be budgeted in future years.

 

LEGAL NOTE

Workers’ Compensation Third Party Claims Administration Services are related to insurance costs and are therefore exempt from competitive bidding pursuant to Part II, Chapter 2, Article V of the Hernando County Code of Ordinances.

RECOMMENDATION

It is recommended the Board approve and authorize the Chairman’s signature on the attached agreement for award to Davies Claims North America, Inc., for Contract No. 25-PS00995/AP in the estimated three-year contract amount of $101,325.00 with an estimated annual spend of $33,775.00.

 

It is further recommended the Board authorize the Chief Procurement Officer to approve change orders, as necessary and required up to the allowable budgeted amounts, and to renew the contract with the same terms and conditions.
