Correction and Ratification of Surplus Vehicle Sale and Correction of Vehicle Asset Records

BRIEF OVERVIEW
Following the sale of a surplus vehicle with a Vehicle Identification Number (VIN) ending in #81859, an error was discovered in the May 26, 2026, surplus list. The wrong VIN was included during the surplus process, which resulted in the incorrect vehicle being listed for surplus.
The vehicle that was incorrectly listed on the Board’s May 26, 2026, surplus approval list was the vehicle with a VIN ending in #81864. The vehicle that should have been listed, and that was actually surplussed on May 26, 2026, was the vehicle with a VIN ending in #81859.
After reviewing the records, the County corrected the asset assignments to accurately reflect the vehicles. The vehicle with the VIN ending in #81859 is now correctly assigned Asset ID 22161 and is the vehicle that was surplussed on May 26, 2026. The vehicle with the VIN ending in #81864 is now correctly assigned Asset ID 22162 and was removed, as it was not surplussed.
This agenda item requests Board approval to correct the administrative error by correcting the surplus records to ensure the County’s inventory and insurance records accurately reflect the correct vehicles and asset assignments.
Additionally, the error was not discovered until the buyer of the vehicle with the VIN ending in #81859 attempted to register the vehicle. Therefore, authorization is also requested to issue the buyer a corrected title reflecting the correct vehicle information.
These corrections are reflected in the attached amended surplus lists for May 26, 2026, and July 28, 2026.

recommendation
RECOMMENDATION
It is recommended that the Board approve the Amended FY26 Surplus Vehicles and Equipment lists for May 26, 2026 and July 28, 2026, thereby:
- Correcting the Asset ID numbers by swapping Asset ID 22161 and Asset ID 22162;
- Voiding the sale of the vehicle with the VIN ending in #81864; and
- Ratifying the sale of the vehicle with the VIN ending in #81859.
Additionally, it is further recommended that the Board authorize staff to complete all necessary documentation to issue a corrected title to the purchaser reflecting the vehicle with the VIN ending in #81859.
