BRIEF OVERVIEW
On October 10, 2025, Hernando County Fleet Department submitted a request to the Procurement Department to piggyback Aboveground Fuel and Fluid Storage with Related Hardware, Software, and Services with Sourcewell, Contract No. 081524-SYS; Hernando County File No. 25-P0191M, with Syn-Tech Systems, Inc., for Fuel Master FM Live Service Renewals, and with a contract expiration date of November 18, 2028.
Hernando County Fleet currently has Sourcewell Contract No. 0929120-SYS with Syn-Tech Systems, Inc., which is expiring on December 7, 2025, and being replaced by Sourcewell with contract 081524-SYS for the same services. Fleet is requesting the replacement contract to be approved to continue services and upgrade from the Basic Service plan to Premium Service plan with an estimate annual spend of $20,030.00.
The Contract provides for three (3) additional one (1) year renewal periods.
The Chief Procurement Officer has reviewed this requirement for conformance to Procurement Ordinance and Purchasing Policies and Procedures.
FINANCIAL IMPACT
Funding will be from budgeted funds in the amount of $20,030.00 per Fiscal Year in the following:
Fund: 5011 - CENTRAL FUELING SYSTEM, Department: 08011 - CENTRAL FUELING SYSTEM, Account: 5304606 - REPAIR/MAINT-SOFTWARE

recommendation
RECOMMENDATION
It is recommended the Board approve the utilization of aboveground fuel and fluid storage with related hardware, software, and services with Sourcewell in the amount of $60,090.00 with an estimated annual spend of $20,030.00.
It is further recommended the Board authorize the Chief Procurement Officer to renew the contract with the same terms and conditions and approve change orders as they become necessary and required up to annual budgeted amounts.
