BRIEF OVERVIEW

Board approval for the award of Contract No. 22-T00079/JG for Mowing Services and Grounds Maintenance to Clear Cut Lawn and Landscaping LLC was obtained on January 10, 2023, Doc ID 11534.

 

On June 24, 2022, the Procurement Department issued Invitation to Bid (ITB No. 22-T00079/JG) at the request of the Hernando County Facilities Maintenance Department, to obtain bids for mowing services and grounds maintenance throughout the year.

 

Four (4) bids were received on the opening date July 20, 2022, from the following vendor/contractors:

*Bid was removed from consideration by the department for M & G Lawn Service, LLC for the following reason:

 

Based upon a comparison to the other bids received and previous contracts, it was determined the bid prices are too low to allow sufficient time at each property to properly perform the work according to the specifications of the bid. 

 

Amendment No. One (1) is for correction to actual intended mows inadvertently missed on the solicitation bid document.  The Amendment is to correct the number of estimated mows to the following locations included in the Contract:

 

                     Animal Services

                     Chinsegut Manor

                     Government Center/Parking Lots/Record Storage

                     Lykes Library

 

The revised quantity of estimated mows will increase the initial three (3) year term estimated base bid amount to $228,600.00 (estimated annual amount of $76,200.00).

 

The Chief Procurement Officer has reviewed this requirement for conformance to Procurement Ordinance and Purchasing Policies and Procedures.

 

FINANCIAL IMPACT

Funds of $228,600.00 are available from the following Accounts:  Facilities Maintenance 0011-01701-5303413 - Contr Srv-Mowing and Chinsegut Hill Facilities 0011-01703-5303413 - Contr Srv-Mowing, Cooperative Extension Svc 0011-04801-5303401 - Contracted Services, Little Rock Cannery 0011-04881-5303413 - Contr Srv-Mowing.

RECOMMENDATION

It is recommended that the Board approve and authorize the Chairman’s signature on attached Amendment No. One (1) to Contract 22-T00079/JG to Clear Cut Lawn and Landscaping, LLC for Mowing Services and Grounds Maintenance update in the estimated amount of $228,600.00 (estimated annual amount $76,200.00), a $21,600.00 increase over the three (3) year award the Board approved on January 10, 2023.  It is further recommended that the Board authorize the Chief Procurement Officer to approve change orders as they become necessary and required.
