BRIEF OVERVIEW
On August 25, 2025, Hernando County Department of Public Works submitted a request to the Procurement Department to piggyback Pavement Management Software and Services with Coretrust Cooperative (Contract No. 24COR-010; Hernando County File No. 25-P0262) with Pavement Management Group, LLC (PMG) for automated pavement, sidewalk and asset Condition assessment services, and with a contract expiration date of March 30, 2030.

The Contract provides for four (4) additional one (1) year renewal periods.

Year One: $132,500.00
Year Two: $137,500.00
Year Three: $145,000.00
Total: $415,000.00

The Chief Procurement Officer has reviewed this requirement for conformance to Procurement Ordinance and Purchasing Policies and Procedures.

FINANCIAL IMPACT
Fiscal Year 2026 funding in the amount of $132,500.00 is available in the following:

Fund: 1022 - ADDL LOGT 1-5 GAS-RES RDS, Department: 03241 - ADDL LOGT 1-5 GAS-RES RDS, Account: 5303103 - PROF SRV-ENGINEERING.

Future Fiscal Year funding will be from budgeted amounts.

RECOMMENDATION
It is recommended the Board approve the utilization of pavement management software and services through Coretrust Cooperative Contract No. 24-COR-010 (Hernando County File No. 25-P0262) with Pavement Management Group, LLC for automated pavement, sidewalk and asset condition assessment services; in the amount of $415,000.00 for a term of three (3) years with an estimated annual spend year one - $132,500.00, year two - $137,500.00, and year three - $145,000.00.
