Ratification of Emergency Purchase Order to Insight Public Sector for iPads With Extended Service Agreements for Hernando County Fire and Emergency Services (Amount: $53,612.40)

BRIEF OVERVIEW
The Fire Department requested an emergency purchase order on April 9, 2024, due to the Countywide Network Interruption, due to the need for iPads to run the CAD on a secure connection that bypassed any county network connections. The iPads also have GPS that is required for Automatic Vehicle Location service to dispatch the closest emergency apparatus to an emergency. This required immediate purchase of the 40 iPads, as it was a hazard to public health and safety to operate without access.
The Procurement Department issued Purchase Order No. 24000752 in the amount of $53,612.40 on April 9,2024, to Insight Public Sector for the emergency purchase. The Procurement Department is bringing the purchase order to the Board for ratification.
The final cost was $53,612.40. No change orders were needed as the "estimated" Purchase Order amount was the "actual" purchase order amount, per the invoice submitted by Insight Public Sector.
FINANCIAL IMPACT
Total funding in the amount of $53,612.40 is available in Fund: 1661 - HC Fire Rescue - Fire, Department: 02261 - Fire Rescue - Fire Account: 5305274 - Uncap Equip-Tech ($26,806.20) and Fund: 1691 - HC Fire Rescue - Rescue, Department: 02491 - HC Rescue - Rescue, Account: 5305274 - Uncap Equip-Tech ($26,806.20). The encumbrance (actual purchase) will need to be charged to these departments, in lieu of Fund: 1661 - HC Fire Rescue - Fire, Department: 41661 - Fire Rescue Fund -Disaster, Account: 5305274 - Uncap Equip-Tech (attached) that shows the encumbrance.
