Ratification of Emergency Purchase Order to Amax Welding and Fabrication, Inc., for Aeration Equipment Repair at Ridge Manor Wastewater Treatment Plant for Utilities Department

BRIEF OVERVIEW
The Utilities Department requested an emergency purchase order on February 21, 2023, due to one section of the aeration equipment failing at the Ridge Manor Wastewater Treatment Plant. This required immediate repair as it is a hazard to public health and would result in substantial fines if the repair was delayed.
The Procurement Department issued Purchase Order No. 23000592 in the amount of $22,000.00 on February 21, 2023, to Amax Welding and Fabrication Inc., as the repair requires crane services and fabrication. The Procurement Department is bringing the purchase order to the Board for ratification.
The actual repairs were completed at the final cost of $48,531.05. Change Order One (1) was processed to increase the Purchase Order $25,000.00 to pay for repairs. Change Order Two (2) was processed to increase the Purchase Order $1,531.05 to cover the final invoice now that work has been completed. The change orders were created to increase the “estimated” Purchase Order amount to an “actual” purchase order amount and to pay/close this emergency purchase order upon Board approval.

Funding in the amount of $48,531.05 is available in Account No. 07201-5304617, Renewal and Replacement Repair/Maint-Sewer Plants.

RECOMMENDATION
It is recommended that the Board ratify Emergency Purchase Order No. 23000592 in the amount of $48,531.05 to Amax Welding and Fabrication Inc., for aeration equipment repair.
