Utilization of Sourcewell Contract With Samsara, Inc., for Vehicle and Equipment Telematics for Fleet Department

BRIEF OVERVIEW
The County has utilized CalAmp for the past six (6) years for GPS tracking and telematics on our fleet vehicles and equipment. This contract expires on July 7, 2023.
Fleet Management conducted a pilot program with several telematics companies to determine the best company to fill the need for GPS tracking, telematics, route set, safety and diagnostic features. Samsara was the most cost effective and user friendly under the Sourcewell contract (020221-SAM). With Samsara, County vehicles and equipment will be equipped with the following:
• Front facing cameras with an annual cost of $89,100.00.
• County vehicles and equipment will be enabled with GPS tracking, telematics, and diagnostics at an annual cost of $68,172.00.
• All other powered equipment (UTV’s, Golf carts, forklifts, etc.) will have GPS tracking with diagnostics at an annual cost of $23,878.00.
• All non-powered equipment (trailers) will have GPS tracking at an annual cost of $9,360.00.
• Shipping and handling $3,361.00.
Based on the above pricing, vehicles with front facing cameras, GPS tracking, telematics, and diagnostics will be provided for approximately $40 per month.
With this contract, the vendor Samsara will provide the hardware, perform the installations, and provide the web access software (with unlimited licenses) at no additional cost other than the rates described above.
FINANCIAL IMPACT
Funding in the amount of $193,871.00 is available in Account No. 08021-5303401, Contracted Service.

RECOMMENDATION
It is recommended that the Board approve the piggyback contract with Samsara, Inc., in the amount of $193,871.00 for the tracking, engine diagnostic, and front facing camera system.
