Ratification of Emergency Purchase Order to Hercules Fence Company, Inc., for Replacement of Electric Gates at Pine Island Park

BRIEF OVERVIEW
The Parks and Recreation Department requested an emergency purchase order on September 22, 2023, to maintain park closure and eliminate any safety and health issues to the community after Pine Island Park was deemed unsafe and closed down. The gates to the park were damaged beyond repair inclusive of the motors, control boards and exit gates being submerged in salt water during Hurricane Idalia the gate openers are a total loss and needed to be replaced.
The Procurement Department issued Purchase Order No. 23001123 in the amount of $42,500.00 on September 22, 2023, to Hercules Fence Company, for immediate replacement. This replacement needed to be completed to restrict to personnel the ability to clean up and make safe prior to the park being reopened to the public. The Procurement Department is bringing the purchase order to the Board for ratification.
The replacement was completed at the final cost of $42,500.00. Change Order One (1) and Change Order Two (2) were processed in error. Change Order Three (3) was processed to correct the department number that was incorrectly entered on the Emergency Purchase Order (EPO) on September 22, 2023, from 04441 to 40011. No dollar changes were made to this EPO.
FINANCIAL IMPACT
Funding in the amount of $42,500.00 is available in Account No. 40011-5304601, General Fund Disaster/Repair/Main-Bldg & Grd.

RECOMMENDATION
It is recommended that the Board ratify approval of Purchase Order No. 23001123 in the amount of $42,500.00 to Hercules Fence Company and approve payment of the final invoice in the amount of $42,500.00.
